Cast and Crew Transportation in Los Angeles: A Booking Checklist for Production Coordinators

A cast and crew transportation request should tell the Los Angeles operating provider exactly who is moving, between which locations, at what times and under whose authority. Production coordinators can use this booking checklist to reduce assumptions before requesting a coach.

Production identification

  • production and project name;
  • service dates;
  • production company and billing entity;
  • coordinator and transportation contacts;
  • purchase order or internal reference if required.

Passenger groups

List cast groups, crew departments, background performers and support staff separately. State expected riders for each departure rather than the total production headcount.

Pickup locations

Provide full addresses plus the exact passenger entrance, base camp zone or crew parking area. Include property contacts, gate procedures and coach restrictions.

Destinations and location access

Identify the approved set entrance and on-location transportation contact. Note road limitations, security, permits or instructions that affect a 45-foot coach.

Call and ready times

Give both the department-ready time and proposed shuttle departure. The provider needs to understand the operational deadline behind the schedule.

Wrap and release assumptions

State whether return time is fixed, estimated or held until production release. Identify who can release the vehicle and how updates will be communicated.

Vehicle and capacity requirements

UniSky Express offers a 33-passenger Prevost coach with reclining leather seats, Wi-Fi, USB power, an onboard restroom and luggage storage. Confirm that passenger count, equipment and location access fit this vehicle.

Do not request “any bus” if the production has specific capacity, accessibility, storage or appearance requirements.

Equipment and luggage

Describe cases, personal bags, wardrobe or other approved items expected with passengers. Specialized production equipment may require separate transportation.

Accessibility and passenger assistance

Identify requirements before booking. UniSky Express does not advertise a wheelchair lift, so an appropriately equipped provider must be arranged when needed.

Communication and change authority

Name the person who may approve added stops, delayed departures or schedule extensions. Individual passengers should not change the service directly.

Vendor onboarding documents

List insurance wording, operating documents, W-9, agreement and invoicing requirements. Allow enough time for review before the first service date.

Commercial response format

Ask the provider to state what service is included, the schedule assumptions and which changes may affect commercial terms. UniSky Express does not publish a fixed production transportation price because itineraries differ.

Final booking checklist

  • passengers by departure confirmed;
  • pickup and destination entrances approved;
  • call and arrival targets aligned;
  • wrap-release process documented;
  • vehicle capacity and storage reviewed;
  • contacts and change authority assigned;
  • vendor documents accepted;
  • rider instructions ready.

Production booking FAQ

Can an approximate wrap time be used?

Yes, but the service plan must define the release contact and how schedule changes are confirmed.

Should all cast and crew be listed together?

No. Separate groups by movement, call time and transportation requirement.

Can extra stops be added on the service day?

Only after the authorized coordinator requests them and the provider confirms feasibility.

When should onboarding documents be requested?

Before the service date and early enough for production, accounting and risk teams to review them.
